If you are an Educator or Administrator with a reporting account, you have access to a variety of reports for your learning environment. There are two broad categories of reports available to you in the AIS learning environment:

  1. The reports in AIS Central are used to display detailed information about users and their evaluation results.  These reports are targeted at helping you manage the day to day learning progress at your facility or organization.
  2. The reports found in the AIS Dashboard contain anonymous aggregated information that helps you examine larger trends about education in your facility.  These reports do not have any information about specific users.  Consult the AIS Dashboard Reports Guide for more information about this feature.

 

Accessing AIS Central Reports

To use AIS Central Reports, your user account must be set up with the account type of ‘Educator’ or ‘Reporting Account’.   As well, your AIS Central account must be linked to the Regions and Locations (facilities or offices within your organization) for which you are authorized to run reports and view data.  This setup needs to be completed by your Help Desk or by the AIS support team.  

 

What Can I Report On?

As noted, the AIS Central reports allow you to report on specific users and specific evaluation results.  The reports allow you to answer questions like:

 

  • Who has created new user accounts?
  • Who has logged in to the system, what did they do and how long did they spend on each topic?
  • How much progress have people made towards completing their learning requirements?
  • How did a specific person respond to questions on an evaluation?  
  • What are the test results of people on a specific evaluation?

AIS Central reports allow you to track and manage your learners.  They also allow you to understand which topics and questions may require more training and education amongst your staff.

 

Running Reports

To run a report, log in to your AIS Central account and click on the ‘Reports’ tab.  If you do not see a Reports tab, your user account does not have access to the reporting function.  You must have an Educator or Reporting Account to access reports.  Contact your Help Desk or AIS Support for help.

 

 

The report process is organized into four steps:

  1. Select a report.  Each report is described in detail later in this document.
  2. Select the region and location which you wish to report on.
  3. Select the report options.  Each report has different ways of filtering and analyzing the data.
  4. Generate the report.  You can choose between viewing the report on a web page (HTML) or downloading an Excel file containing the report data.

 

 

To move between each step in the report process, click the ‘Step’ buttons or click the numbered tabs in the reports window.

Using the Report Option Controls

The various controls on the report windows allow you to select one or more options to filter your reports.  In Step 2, to select regions and locations, you must select a desired items from the list on the left and insert it into the ‘Selected’ list on the right using the ‘Add’ button.

 

 

 

In Step 3, the report options vary based on the report you have selected.  These controls may be listboxes or drop-down lists.  Some filter options allow you to select many items and some require that you select only one.   Others are entirely optional.  They will be labelled accordingly.

 

 

In lists which allow multiple selections, you can select more than one item by clicking while holding down the ‘Ctrl’ key.  You can select groups of items clicking on the first item in the group and then clicking on the last item while holding down the ‘Shift’ key.

Generating a Report

The final step of the report process is the generation of the report based on the options you have selected.  Depending on the report and the options, this can take anywhere from a few seconds to a few minutes.  You have the option of viewing the report as web page by clicking on the ‘HTML’ button.  Or, if you wish to perform further filtering, sorting and analysis on your report data, you can choose to download the report as an Excel spreadsheet.

Report Details - Description by Report

 

Accounts - Created within Date Range        

This report can be used to provide a variety of information on user accounts.  There are a variety of uses for this report:

 

  1. Get a list of active user accounts for your location.
    Report Options:        
    Status = Registered
  2. Find users who have not logged in since a specific date.
    eg. list all users who have not logged in since January 1, 2013
    Report Options:
    Last Login Date - From = (blank)   Last Login Date - To = 12/31/2012
  3. Show basic information about users at a location.
    Report Options: any
    The report data includes user account names, linked locations, disciplines, status and account types.  This is useful for providing a quick snapshot of users at a location.

Activity - Details by Individual        

This report provides a list of every login for a specific user, with details about the courses and evaluations they accessed during a session.  You will see how many minutes a user spent in an area of the system, as well as the time at which they accessed the system.

Activity - General (by Location)        

This report provides an overview of login activity for all users at selected location.  Use this to determine how much people are accessing the learning material and evaluations in AIS Central.  This report provides summary information for each time a user logged in to the system, but does not provide details on the specific areas of the system that were accessed.  If you wish to see more detailed session information, refer to the “Activity - Details by Individual” report.

CE - Progress        

This report allows you to see the progress of all users at a location towards a specific certificate.  Note that this report does not measure the progress on an entire curriculum.  This report requires you to select a single certificate in the report options.

CE Report – By Approval Body

This report provides a list of users who have earned various credits for the purpose of reporting to the CE Approval Bodies in each jurisdiction.  You can select a specific jurisdiction and approval body in the report options, or allow the report to print for all of these.  A date range must be specified.

Curriculum - Status of Required Items

This report allows you to see the progress of users towards the completing an entire curriculum.  A curriculum is a series of  evaluations that can be set as being required for a specific discipline.  Note that curriculums are an optional feature in AIS Central.  If you are not using them, this report will be blank.

 

This report offers a great deal of flexibility in the report options.  Beyond the standard filtering by region and location, you can also narrow down your report to specific users or a specific discipline.  The report options also allow you to select one or more courses and you can select specific evaluations within those courses.  You can also filter the report by showing only users who have passed or who have failed.

 

In the sample report output below, the report excerpt is showing a user who has several required evaluations, but has not successfully completed any of them because the ‘Date Passed’ column is blank.  Note also that the evaluations are not overdue for this user because the ‘Days Overdue’ column shows a negative number, meaning there are still 175 days available for this user to complete their evaluations.  A positive number in this column indicates an overdue evaluation.

 

A ‘Take Number’ column was recently added to this report to show you how many tries it took the learner to pass the evaluation.  A large number here might be a warning flag.

Responses - Individual Learner        

This report allows you to analyze the results of a specific user on a specific evaluation.  You will see exactly how the user responded to each question as well as the actual correct response.  Note that this report does not allow you to report on multiple users or multiple evaluations.  Refer to the ‘Results of Evaluations’ reports for summarized data for a location.

Responses by Evaluation - Percentage Incorrect        

This report shows the overall results for a specific evaluation at one or more locations.  Use this report to understand which areas of knowledge may require additional training for your staff.  The report shows the percentage of users who answered a particular question incorrectly and what the average grade was for users who answered incorrectly.  The ‘Average Grade’ column allows you to click on the underlined percentages to open a new window showing the specific users who answered this question incorrectly.

Results of Evaluations

This report provides an overview of each evaluation attempt.  You will see whether the user achieved a passing grade, the actual grade and the date on which they attempted the evaluation.  The report has numerous filtering options.  You can run the report for a single user, groups of users, or by discipline.  You can run the report for one or more courses and evaluations.  

 

You can also choose to report on completed evaluations only, or one ones which are in progress or not yet started.  The report options also allow you to report on only the most recent evaluation attempt (or ‘take’).

 

You may find it useful to use the Excel spreadsheet output format in Step 4 in order to filter and sort this report data according to your needs.
